StrandRestore vs Square Appointments: booking or claim record

Square Appointments suits a studio that mainly needs a calendar and a card reader, while StrandRestore suits one whose real work is the fitting record and the claim.

The short answer

Square Appointments is a booking front end attached to a payments company. It takes deposits, runs a counter and handles the register side well, which matters when a client pays half at order and the balance at handoff months before her carrier reimburses her. Its scope is booking and money, not prosthesis paperwork. StrandRestore holds the cap measurements, the vendor order and the claim log, and plenty of studios run both, keeping Square at the counter and putting the fitting record with us. If you only need to book and get paid, stay where you are.

StrandRestore and Square Appointments side by side

Row by row, how each one handles the work of a hair loss studio: the cap measurements, the vendor order and remake history, the cranial prosthesis letter, and the claim that follows a client out the door.

What follows on the right is the shape of Square Appointments as a category: the workflow it assumes and the buyer it is written for. None of it stands still, so take the current position from them rather than from here. StrandRestore is published by MLJ, SASU and this page is written by Jimenez Julien.

Choose StrandRestore when

  • If a client asks what she can send her insurer and you reach for a blank document, this is the gap.
  • If you carry six open claims at once and track them on a legal pad, the log alone pays for the month.
  • If a vendor sends the wrong cap size, you need the original measurements and order number in one place.
  • If alopecia clients come back for a second unit two years later, the record has to still be there.

Choose Square Appointments when

  • If your studio is new and you mostly need to be bookable online and take a card, start there and add us later.
  • If your card processing and your calendar already live together and it works, do not break that to buy ours.
  • If you sell a lot of walk in retail, a payments first platform handles the counter better than we intend to.

Two different definitions of a finished job

For a booking and payments product, a job is finished when the appointment is marked complete and the card clears. For a hair loss studio, that moment is the middle of the story. The unit still has to arrive, be cut in, and be documented well enough that a carrier will reimburse a client who is already paying for treatment.

StrandRestore treats the claim as the end of the job. Until the payer has responded, the record is open, with a date on it and a reason to call. That framing is the whole difference, and it is why a studio can be perfectly happy with Square for the counter and still need something else for the file.

Money before reimbursement

Cranial prosthesis work has an awkward cash shape. A client pays you now, in full or close to it, and hopes to be reimbursed later. That means deposits, balances and clear terms she can read while she is worried about something much bigger than a wig.

Card handling belongs on a payments platform and we do not compete for it. What we hold is the arithmetic around it: what the unit cost, what the fitting hours were worth, what she paid, what was submitted, and what came back. Our price builder page walks through building that number before you quote it.

Running the two together

The practical setup for many studios is unglamorous and works well. Clients book and pay through the tool they already use. The measurement, the vendor order, the invoice detail and the claim status live in StrandRestore, where you can find them a year later when she returns for a second unit.

If that sounds like duplicated effort, it is less than it looks. Booking data changes daily and matters for a week. Fitting and claim data matters for years, and it is the part that keeps you at the desk after close. Put each one where it belongs.

Questions people ask before they choose

Do I have to stop using my current booking system?

No. StrandRestore does not try to be your public calendar or your card reader. Studios routinely keep booking and payments where they are and use us for the fitting record, the letter and the claim log.

Can StrandRestore take a deposit from a client?

It records the deposit, the balance and the terms against the unit so the file matches what she actually paid. The card itself is processed by whatever terminal or platform you already use. Keeping processing separate is deliberate.

Is this worth it if I only file a few claims a year?

If you file two or three claims a year, a folder and a good template may be enough, and our free claim file checklist covers that. Studios filing several a month usually find the log is the part they cannot go back to living without. Try the checklist first and see which describes you.

Watch the letter come off a real fitting

A head to head reads differently once you have seen a cranial prosthesis letter generated from a fitting record instead of retyped. Bring one client file with the measurements and the prescription in it, and we will build the letter, the itemized invoice line and the claim log while you watch. Twenty minutes is usually enough to know which of the two belongs in your studio.
